BOOKING CONDITIONS

These booking conditions set out the basis of your contract with us in respect of the relevant holiday cottage and your use of it.  

YOUR BOOKING
A request to book our holiday cottages may be made by phone or by email. The email address is bookings@brookhouseiow.co.uk The details that you will need to supply us with are your name, full address and a telephone number, number of people in the group (including children/babies).

We will confirm to you, by email or in writing, if we can accept the booking. Our confirmation will conclude a booking contract between us in respect of the relevant booking.  

The individual making the booking is responsible for all payments due in respect of the booking, and for ensuring that these booking conditions are complied with by all those who use the holiday cottage as part of the booking.

The number of people (including children) using the cottage must not exceed the maximum number for the relevant property. This is:

• 8 plus 2 additional children for the Old Coach House,
• 6 for Westbrook,
• 4 for Northbrook and
• 8 for the Old School.

In exceptional circumstances, we are willing to discuss what arrangements can be made for extra people, particularly children/babies, but approval for such additional people is entirely at our discretion. For the Old School, there is an annexe, which will accommodate an additional 6 people, but use of this is subject to agreement at the time of booking.

ARRIVAL AND DEPARTURE
Your cottage will normally be available to you after 3pm on the relevant day. You must leave the cottage by 10am on the day of your booked departure.  

As we need sufficient time to ensure that the cottage is thoroughly cleaned and checked between bookings, please do not arrive early or leave late.

Shortly before the start of your booking, please call us with the likely time of your arrival and we will make arrangements with you to gain access to the cottage. Please call on 01983 740535 or 07802 203376.  

Please ensure that the cottage is clean and tidy when you leave, and let us know of any damage or breakages. You will be liable to pay for damage or breakages at replacement value. We reserve the right to make a charge for cleaning after a booking if the cottage is left in an unacceptable state. If there are any problems in the cottage, please do let us know, even if it is not causing you any difficulties with the enjoyment of your holiday. It is much easier for us to solve problems during the week than on a Friday/Saturday, and the problems may impact more upon the next group of holiday makers.

Please do not move furniture around within the property. If you have booked more than one of our cottages, please do not move cutlery, crockery, glasses or other items from one to the other. 

LAUNDRY AND UTILITIES
We provide bed linen (pillows, sheets and duvet) and towels for each booking. We do not supply beach or swimming towels and our towels must not be taken out from the cottages.

The cottages are heated and central heating is included within your booking cost. Westbrook and the Old School have a woodburning stove; coal and logs are normally available for your use.

For the Old Coach House, Westbrook and Northbrook, pay as you go mobiles, using the o2 network are available for your use during your stay. We ask for a cash deposit of £20, returnable in full with the return of the phone at the end of your stay. The o2 network is the only network with good coverage at Brook House. For the Old School, the phone is available for you to use, and we ask you to leave payment for your calls on an honesty basis.

PETS
One well-behaved dog is welcome, subject to our prior agreement. There is a charge of £20 per booking or per week, whichever is longer, for a dog. Please do not allow dogs onto furniture or into bedrooms. In Westbrook and the Old Coach House, dogs must be kept downstairs. You must clear up after your dog in the garden/outside areas. Dogs must not be left alone in the cottage in any circumstances.  

PAYMENT FOR YOUR BOOKING
A deposit of 20% of the total booking cost is payable when the booking is confirmed. If the deposit is not received within 10 days, then the booking will be deemed cancelled by us.

The balance of the booking cost is payable no less than 12 weeks before the booking is due to begin. If the booking is made less than 12 weeks before the start of the booking, then the full cost must be paid straightaway.  

If the total cost is not paid timely, then we may cancel the booking and we will be entitled to keep the deposit paid by you.

Payment must be made by cheque or bank transfer. Cheques must be made payable to Battersea Bridge Investments Limited and sent to Brook House, Brook, Isle of Wight PO30 4EJ. Bank transfer details can be supplied on request.

CANCELLATION
If, having made a booking, you wish to cancel it, the deposit will not be returned to you. Further, if the cancellation is made less than 12 weeks before the start of the booking, you will remain liable to pay the full amount of the booking to us. If in this situation we are able, in the normal course of our business, to rebook the cottage for all or part of the cancelled period, then we will subsequently repay or credit to you some or all of 80% of the booking cost (ie not the deposit). The amount repaid or credited will be linked, pro rata, to the amount for which we were able to rebook the cottage following your cancellation.

As you may remain liable to pay for the entire booking cost in the event of cancellation, we recommend that you consider taking out appropriate holiday insurance to cover such an eventuality.
   
If we are forced to cancel the booking for reasons outside of our reasonable control, we will refund to you the costs that you have paid to us, including your deposit, but will not have any further liability to you.

ADVERTISING
We take all reasonable care in the creation of advertising material relating to the cottages, however you must ensure that you check all details of your chosen property and arrangements prior to booking.

Please note, in particular, that Northbrook has two flights of stairs to access the main living accommodation and so this cottage may well not be suitable for the less mobile.

If you or any of your companions do have any access issues, please do let us know in advance of making your booking, so that we can discuss with you whether any reasonable adjustments can be made to assist.

LIABILITY
You are responsible for your personal property, and personal safety, during your booking. We will not be liable for any loss, damage, expenses or claim of any sort arising from the booking or you and your groups use of the cottage (save in respect of claims for death or personal injury caused by our negligence which we can not, by law, limit).

COMPLAINTS
We are anxious that you and your group have a lovely holiday. If, however, you do have any problems or cause for complaint, we would want to ensure that if we can take any action to resolve the difficulty that we have the opportunity to do so. It is therefore vital that you let us know immediately of any problems to allow us this opportunity. Obviously, if complaints are made only after your booking has finished, there is nothing that we can do to resolve them.

DATA
Any data collected from you will be used only to contact you in relation to your booking or for us to contact you regarding our cottages in the future. We will not otherwise use such data or supply it to another party.

LAW
This booking contract is subject to English law and the Courts of England and Wales shall have exclusive jurisdiction.
